Starter stack guide
The best AI tools for solopreneurs: an honest starter stack
· Prices checked on each tool's official pricing page, Oct 2026
Some links may be affiliate links; we only list tools we'd use, and it never costs you more.
Every week there's a new list of "50 AI tools you need." You don't need 50. A one-person business can run on two or three tools, plus a few more as specific jobs come up. Most of what's below has a free plan, and the whole starter stack costs about $29 a month, less if you stay on free plans while you find your feet.
How we picked: each tool had to save a solo pro real time, have a price you can find on its own website, and work without a developer. Where a free tool is the best choice, we say so, even when it pays us nothing.
The short answer: start with these three
-
01 · YOUR ALL-ROUND HELPER
Claude
$20/mo (Pro), or start on the free plan
Drafts emails, quotes, product descriptions and replies to tricky customers. It is the tool most one-person businesses end up opening every day. Start free and only pay for Pro when you keep hitting the limit.
Watch out: It can sound sure of itself and still be wrong. Check numbers, facts and anything legal or tax-related. ChatGPT Plus costs the same and is just as good a choice; pick the one you like using.
-
02 · THE GLUE BETWEEN YOUR APPS
Make
from $9/mo (Core), or the free plan
Moves information between your tools on its own: a new form entry lands in your spreadsheet, a new booking gets a thank-you email, a paid invoice gets logged. The free plan is enough for one or two simple automations.
Watch out: Make takes longer to learn than Zapier. Budget an afternoon for your first automation and check it weekly for the first month.
-
03 · AN EMAIL LIST YOU OWN
beehiiv
$0 up to 2,500 subscribers
Social platforms can bury your posts overnight. An email list is the one audience nobody can take away. beehiiv's free plan covers sign-up forms, unlimited sends and a simple website. We run The Solo Brief on it.
Watch out: Email automations, polls and the referral program need a paid plan (Lite is $49/mo billed yearly). You won't need them for a while.
Starter stack total: $29/mo, or $0 on free plans
Claude Pro $20 + Make Core from $9 + beehiiv Free $0. Add Calendly Free, Fathom Free, Canva Free and QuickBooks Simple Start ($38/mo) when you need them and you're still under $70 a month.
Price as of Oct 2026. Prices change and some are billed yearly; confirm on each tool's pricing page before you buy.
Picks by job
Only add a tool when a real job in your week calls for it. Here's what we'd reach for, and when to skip it.
Email & inbox
Email and inbox: get replies drafted, not written from scratch
If you spend more than an hour a day in email, an AI inbox assistant is worth a trial. If you don't, Gmail filters plus Claude for the hard replies are enough.
OUR PICK
Inbox Zero
Price: 7-day free trial. Starter $18/mo billed yearly ($20 monthly). Price as of Oct 2026
Sorts and labels your mail, drafts replies in your voice and blocks cold emails. It's open source, so anyone can check how it handles your mail.
Watch out: You still read every draft before it goes out. Try the 7-day trial on a normal week, not a quiet one.
ALSO GOOD
Fyxer
Price: 14-day free trial. Pro $37/mo billed yearly ($49 monthly). Price as of Oct 2026
Sorts your inbox and drafts replies in your voice, and it works with Gmail and Outlook.
Watch out: At $37 to $49 a month it costs about twice as much as Inbox Zero. It only pays off if email is a real time sink.
See it in action: Fyxer sorts your inbox and drafts replies in your voice
Scheduling & meetings
Scheduling and meetings: stop the back-and-forth
Most solo pros need two things here: a booking link and notes they don't have to type. Both are free.
BOOKING LINK
Calendly
Price: Free plan (1 event type). Standard $10/mo billed yearly. Price as of Oct 2026
Share one link and clients pick a time that works. The free plan covers one meeting type, which is all most people need at the start.
Watch out: No AI magic needed here, and no affiliate program either. We list it because it's the simplest option.
MEETING NOTES
Fathom
Price: Free forever plan. Premium $16/mo billed yearly ($20 monthly). Price as of Oct 2026
Records Zoom, Meet or Teams calls and writes a summary, free and with unlimited recordings.
Watch out: Always tell people you're recording; in some places it's the law. AI action items need Premium ($16/mo billed yearly).
ALL-IN-ONE ASSISTANT
Kai by Morgen
Price: Free trial, no card. Base $20/mo. Price as of Oct 2026
One assistant for inbox, calendar, meeting notes and your daily plan, with no bot joining your calls. If you were going to pay for an inbox tool and a notetaker anyway, one $20 tool may replace both.
Watch out: It's new, so try it on your real week with the free trial before you move anything over.
See it in action: Calendly ends back-and-forth scheduling emails · Fathom turns sales calls into CRM notes · Granola takes meeting notes without a bot joining the call
Automation
Automation: let the boring hand-offs run themselves
Make is in the starter stack above. Here's how it compares with the two other tools people ask about.
OUR PICK
Make
Price: Free plan (1,000 credits/mo). Core from $9/mo for 10,000 credits. Price as of Oct 2026
The cheapest way to get real multi-step automations, with a visual builder that shows how your data moves.
Watch out: Steeper learning curve than Zapier. Most actions use one credit, and AI steps can use more.
FOR THE TECHNICAL
n8n
Price: Free to self-host (Community Edition). Cloud Starter $20/mo billed yearly. Price as of Oct 2026
Free if you host it yourself, and very flexible for AI agents and custom steps.
Watch out: Self-hosting means you look after a server and updates. If that sentence worries you, use Make.
EASIEST TO LEARN
Zapier
Price: Free plan (100 tasks/mo). Professional from $19.99/mo. Price as of Oct 2026
The gentlest learning curve and the most app connections. Great for one or two simple Zaps.
Watch out: The free plan allows only two-step Zaps and 100 tasks a month, and it gets expensive as you automate more.
See it in action: Make sends form leads straight into your CRM · n8n agents handle the glue work between your apps · Zapier + ChatGPT sort your support inbox by urgency
Customer chat
Customer chat and front desk: answer the same questions once
If customers keep asking about hours, prices or shipping, write the answers down once and let a tool repeat them.
WEBSITE CHAT
Tidio with Lyro AI
Price: Free plan (includes 50 one-time Lyro AI conversations). Lyro from $32.50/mo billed yearly. Price as of Oct 2026
A chat bubble for your site. Lyro, its AI agent, answers from your own FAQ and hands harder questions to you.
Watch out: The free plan's 50 Lyro conversations are one-time, so it's a trial. Paid Lyro starts at $32.50/mo billed yearly. It only knows what you give it.
SHARED EMAIL INBOX
Help Scout
Price: Free plan (1 inbox). Standard from $25/user/mo. AI Answers $0.75 per resolution. Price as of Oct 2026
If support happens over email, Help Scout gives you a proper shared inbox, a help center and saved replies, with an AI assistant on paid plans. There's a free plan with one inbox.
Watch out: AI Answers bills per resolution ($0.75 each), so watch it if you get a lot of questions.

Content & design
Content and design: look professional without a designer
Canva's free plan is still the best place to start for most people. The other tools here earn their keep only if you post a lot.
OUR PICK
Canva
Price: Free plan. Pro US$144/year. Price as of Oct 2026
Templates for posts, flyers, price lists and thumbnails, plus AI tools that draft a design from a sentence. The free plan is plenty to start.
Watch out: Thousands of people use the same templates. Change the colors and layout so it looks like you. Canva's affiliate program is closed; we recommend it anyway.
ON-BRAND VISUALS
Canvora
Price: Free plan (watermarked, about 15 visuals). Starter $19/mo. Price as of Oct 2026
Set your brand once and it makes carousels, posts and slides in your colors. It also works from inside Claude and ChatGPT.
Watch out: Free outputs are watermarked. It's a newer tool, so keep your source files somewhere you control.
CAROUSELS
PostNitro
Price: Free plan. Starter $15/mo. Scheduling starts on Creator+ at $30/mo. Price as of Oct 2026
Turns a blog post or newsletter issue into a LinkedIn or Instagram carousel, so one piece of writing becomes a week of posts.
Watch out: Starter ($15/mo) doesn't schedule posts; that's Creator+ at $30/mo. Pair Starter with Buffer's free plan instead.
SCHEDULING POSTS
Buffer
Price: Free plan (3 channels, 10 scheduled posts each). Essentials $5/channel/mo billed yearly. Price as of Oct 2026
Batch a week of posts in one sitting. The AI Assistant rewrites one idea for each platform.
Watch out: Scheduling isn't the same as being social. Set aside a few minutes a day to reply to comments yourself.
See it in action: Canva Magic Studio makes on-brand graphics without a designer · Buffer's AI fills a week of social posts in one sitting · Opus Clip turns one long video into a week of shorts
Files & admin
Files and admin: find the contract in seconds
Most solo pros don't need a special tool here. If your client files, receipts and contracts are a mess, this is the one we'd try.
OUR PICK
The Drive AI
Price: Free plan (20 assistant tasks/mo, 1 GB). Premium $19.99/mo or $199.99/year. Price as of Oct 2026
Files, renames and summarizes your documents, and answers plain questions about them, like which invoices from one client came in over a certain amount.
Watch out: Connecting Google Drive, Dropbox or Gmail needs Max ($99.99/mo), so the free and Premium plans work on files you upload. Don't upload anything you're not allowed to share, like client health or legal records.
Bookkeeping
Bookkeeping: the one you shouldn't skimp on
AI can sort transactions and chase invoices, but your books still need a person checking them, ideally an accountant at tax time. Pick the one your accountant uses.
OUR PICK
QuickBooks
Price: QuickBooks Free $0/mo. Simple Start $38/mo (intro discounts change often). Price as of Oct 2026
Pulls in your bank feed and suggests a category for each transaction. QuickBooks Free covers the basics; Simple Start adds more when you're ready.
Watch out: Intro discounts are common, so check what you'll pay after the promo ends. Review AI categories every month; they're suggestions.
ALSO GOOD
Xero
Price: Early $27/mo (20 invoices and 5 bills a month). Intro discounts change often. Price as of Oct 2026
Invoicing, bank reconciliation and automatic reminders for late invoices, with W-9 and 1099 tracking included on the Early plan.
Watch out: The Early plan caps you at 20 invoices and 5 bills a month. Busy businesses outgrow it fast.
See it in action: QuickBooks categorizes your bank transactions for you · Xero or Stripe chase late invoices for you · Dext reads your receipts and files them in your books · Claude explains what changed in your monthly P&L
What we'd skip for now
- Paying for two AI assistants. Claude and ChatGPT overlap almost completely. Pick one and get good at it.
- Annual plans in month one. Yearly billing is cheaper, but only once you know you'll keep using the tool. Run it monthly for a month or two first.
- "All-in-one" business suites you don't need yet. If you're not running a sales team, you don't need sales-team software.
- Anything that promises to run your business for you. These tools draft, sort and remind. You still decide, check and sign off.
The honest bottom line
AI tools won't build a business for you, and they won't fix a weak offer. What they can do is take the repetitive work off your plate, the drafting, the sorting, the chasing, so the hours you have go into the work customers actually pay for. Start with the three tools above, add one tool at a time when a real job calls for it, and cancel anything you haven't opened in a month.
