Freelancer stack guide
The best AI tools for freelancers: the business-side stack
· Prices checked on each tool's official pricing page, Nov 2026
Some links may be affiliate links; we only list tools we'd use, and it never costs you more.
Writers, designers, developers, virtual assistants and consultants are usually good at the work. The part that wears people down is everything around it: finding the next client, writing the proposal, getting the contract signed, chasing the invoice, and staying visible between projects. That business side is where AI tools help most, so that's how this list is organized.
How we picked: each tool had to save a freelancer real time on the business side, have a price you can find on its own website, and work without a developer. Where a free plan is enough, we say so. The three-tool starter stack costs about $20 a month, or $0 if you stay on free plans while you find your feet.

The short answer: start with these three
-
01 · YOUR ALL-ROUND HELPER
Claude
$20/mo (Pro), or start on the free plan
Drafts proposals, scope notes, follow-up emails and the polite "this is out of scope" reply. For most freelancers it is the tool that saves the most hours on the business side, not just the work itself.
Watch out: It can sound sure of itself and still be wrong. Check rates, dates, contract terms and anything legal or tax-related yourself. ChatGPT is a fine alternative; pick the one you like using and stick with it.
-
02 · INTAKE, PAYMENT AND SIGNATURE
Jotform
$0 on the free plan to start
One form does three jobs: a new client answers your intake questions, signs your terms and pays the deposit. No chasing a signed PDF and a payment in two separate emails.
Watch out: The free plan allows 10 payment submissions and 10 signed documents a month. Your payment processor charges its own fees on top. Have a lawyer look at your contract terms once; a form only collects the signature.
-
03 · AN AUDIENCE YOU OWN
beehiiv
$0 up to 2,500 subscribers
Marketplaces and social feeds can change the rules overnight. An email list of past clients, leads and fans is the one channel nobody can take away, and it is how repeat work and referrals find you. We run The Solo Brief on beehiiv.
Watch out: Email automations and the referral program need a paid plan (Lite is $49/mo billed yearly). A plain monthly email to past clients is enough to start.
Starter stack total: $20/mo, or $0 on free plans
Claude Pro $20 + Jotform Free $0 + beehiiv Free $0. Add Calendly Free, Fathom Free, Loom Starter and Canva Free when a job calls for them and you're still at $20 a month.
Price as of Nov 2026. Prices change and some are billed yearly; confirm on each tool's pricing page before you buy.

Clients & proposals
Finding clients and proposals: look ready before the first call ends
Most freelance work still comes from referrals, past clients and people who already know your work. These tools help you follow up fast and send a proposal that looks like you put in the effort, because you did.
PROPOSAL DECKS
Gamma
Price: Free plan (400 credits at signup). Plus $9/seat/mo billed yearly. Price as of Nov 2026
Paste your call notes and get a clean proposal or pitch deck in a few minutes, then edit it into your own words.
Watch out: The first draft is generic. Rewrite the scope, timeline and price yourself before it goes to a client.
PROPOSALS YOU CAN SIGN
PandaDoc
Price: Free plan (5 documents a month). Starter $19/seat/mo billed yearly. Price as of Nov 2026
Proposal, pricing table and e-signature in one document, so a yes turns into a signed agreement on the spot. The free plan covers a handful of documents a month.
Watch out: The free plan stops at 5 documents a month. If you only send one or two proposals a month, Jotform in the starter stack may already cover the signature step.

Contracts & invoicing
Contracts and invoicing: get it signed, get paid on time
Late payments hurt freelancers more than almost anything else. Ask for a deposit up front, put your terms in writing, and let software do the reminding so you don't have to.
OUR PICK
Jotform
Price: Free plan (5 forms, 100 submissions, 10 payment submissions and 10 signed documents a month). Bronze $34/mo billed yearly ($39 monthly). Price as of Nov 2026
Intake questions, your terms, an e-signature and a deposit payment in one form. It is in the starter stack above for that reason.
Watch out: Payment and signature limits on the free plan are monthly. Test the full flow with a friend before you send it to a client.
TAKING PAYMENTS
Stripe
Price: No setup or monthly fees. 2.9% + 30c per successful US card charge. Price as of Nov 2026
Payment links and invoices clients can pay by card, with no monthly fee. Many other tools on this page connect to it.
Watch out: Card fees come out of every payment. Build them into your rates rather than eating them.
INVOICES AND REMINDERS
Xero
Price: Early $27/mo (20 invoices and 5 bills a month). Intro discounts change often. Price as of Nov 2026
Sends invoices and automatic reminders for late ones, and keeps them tied to your books.
Watch out: The Early plan caps you at 20 invoices and 5 bills a month. Check what you will pay after any intro offer ends.
See it in action: Jotform intake forms that take payment and a signature · Xero or Stripe chase late invoices for you
Scheduling & admin
Scheduling and admin: stop the back-and-forth
A booking link and notes you don't have to type cover most of the admin that eats a freelancer's week. Both have free plans.
BOOKING LINK
Calendly
Price: Free plan (one event type, one calendar connection). Price as of Nov 2026
Send one link and clients pick a time that works. The free plan covers one meeting type, which is enough for discovery calls.
Watch out: No AI needed here and no affiliate program either. We list it because it is the simplest option.
CALL NOTES
Fathom
Price: Free forever plan. Premium $16/mo billed yearly ($20 monthly). Price as of Nov 2026
Records Zoom, Meet or Teams calls and writes a summary, so the scope a client described on the call is written down.
Watch out: Always tell people you are recording; in some places it is the law. Send the summary to the client so you both agree on what was said.

Delivering work
Delivering work: fewer meetings, clearer hand-offs
Clients remember how easy you were to work with. Short videos, written how-tos and faster typing make hand-offs clearer without adding meetings.
VIDEO WALKTHROUGHS
Loom
Price: Free Starter plan (25 videos, 5-minute recordings). Business $18/user/mo billed monthly. Price as of Nov 2026
Record your screen and voice to walk a client through a draft, a design or a bug fix. They watch when it suits them, and you skip a call.
Watch out: The free plan limits you to 25 videos and 5-minute recordings. Keep updates short anyway.
STEP-BY-STEP GUIDES
Scribe
Price: Free Basic plan (how-to guides in your browser). Price as of Nov 2026
Click through a process once and it writes a how-to guide with screenshots. Useful for handing work back to a client or training a VA.
Watch out: The free plan works in the browser only. Blur anything private in the screenshots before you share a guide.
DICTATION
Wispr Flow
Price: Free plan with weekly limits. Pro $15/mo, or $12/mo billed yearly. Price as of Nov 2026
Talk instead of type in any app: emails, briefs, first drafts. Handy if you write a lot of client messages.
Watch out: The free plan has weekly limits. Read every dictated message before it goes out.
See it in action: Loom videos that explain it once, not on every call · Scribe turns a process you click through into a step-by-step guide · Wispr Flow turns your voice into clean text in any app
Content & audience
Content and marketing: own your audience, not just your profile
A profile on a marketplace or social site is rented space. Use social to be found, then invite people onto your email list, where you can reach them without an algorithm in the way.
OUR PICK
beehiiv
Price: Free plan up to 2,500 subscribers with unlimited sends. Lite $49/mo billed yearly ($59 monthly). Price as of Nov 2026
Free up to 2,500 subscribers with unlimited sends. A short monthly email with recent work and what you are taking on next keeps past clients thinking of you.
Watch out: Use Claude to beat the blank page, but write the final version yourself. Readers can tell.
SCHEDULING POSTS
Buffer
Price: Free plan (3 channels, 10 scheduled posts per channel). Essentials $5/channel/mo billed yearly. Price as of Nov 2026
Batch a week of posts in one sitting. The AI Assistant helps rewrite one idea for each platform.
Watch out: Scheduling is not the same as being social. Reply to comments yourself, and point people to your email list.
DESIGN
Canva
Price: Free plan. Pro US$144/year for one person. Price as of Nov 2026
Templates for posts, case-study graphics, rate cards and portfolio pages, with AI tools that draft a design from a sentence. The free plan is plenty to start.
Watch out: Thousands of people use the same templates. Change the colors and layout so it looks like you.

Bookkeeping
Bookkeeping and taxes: the one you shouldn't skimp on
Freelancers usually pay their own estimated taxes, so clean books matter. AI can sort transactions, but a person should still check them, ideally an accountant at tax time.
OUR PICK
QuickBooks
Price: QuickBooks Free $0/mo. Simple Start $38/mo (intro discounts change often). Price as of Nov 2026
Pulls in your bank feed and suggests a category for each transaction. QuickBooks Free covers the basics; Simple Start adds more when you're ready.
Watch out: Intro discounts are common, so check what you will pay after the promo ends. Review AI categories every month; they are suggestions.
See it in action: QuickBooks categorizes your bank transactions for you · Dext reads your receipts and files them in your books · Claude explains what changed in your monthly P&L
What we'd skip for now
- Paying for two AI assistants. Claude and ChatGPT overlap almost completely. Pick one and get good at it.
- Annual plans in month one. Yearly billing is cheaper, but only once you know you'll keep using the tool. Run it monthly for a month or two first.
- Tools that write your pitches for you, unseen. Clients hire a person. Let AI draft, then make every proposal and cold email sound like you.
- Building your whole business inside one marketplace. Use platforms to find work, but keep a list of the people you've worked with and stay in touch on your own terms.
The honest bottom line
AI tools won't find clients for you, and they won't fix pricing that's too low. What they can do is take the repetitive business work off your plate, the proposals, the paperwork, the reminders, so more of your week goes to work clients pay for. Start with the three tools above, add one at a time when a real job calls for it, and cancel anything you haven't opened in a month.
The biggest long-term win is an audience you own. Every client, lead and reader on your email list is someone you can reach next month without paying a platform for the privilege.
